Administrative Assistant, Medical Staff Office, Full-Time

Position Objective:
Provides administrative/secretarial support to the Manager - Medical Staff Office and the Medical Office other staff and consultant as required.
Performs diversified administrative and secretarial functions.
Essential Job Duties:

Organizes, coordinates, and schedules appointments and meetings with medical center personnel, members of the medical staff, other healthcare professionals, outside consultants, and other business professionals.
Provides administrative assistance and manages all office functions including retention of all documents, supply inventory, billing and invoices.
Analyzes, sorts, composes, and maintains statistical information for preparation of reports.
Communicates as appropriate with various departments to compile data for reports.
Coordinates all correspondence for the office, including processing incoming mail and responding to routine correspondence according to established procedures; screens visitors and telephone calls; provides assistance with routine requests and inquiries, and refers as appropriate.
Prepares, assembles, reviews, and assures distribution of information appropriately and as required for the preparation and follow-up of meetings or forums.
Attends and records, transcribes and distributes minutes for meetings and conferences as required.
Enters and maintains basic data into the internal database.
Communicates as appropriate with various departments of updates.
Assists in the distribution, follow-up, and collection of Focused Professional Peer Evaluation (FPPE) and Ongoing Professional Peer Evaluation (OPPE) in collaboration with the Quality/Peer Review team.
Enters returned data into department database as appropriate.
Coordinates annual projects performed within the Medical Staff Office.
Including but not limited to medical staff dues and staff gifts.
Coordinates all arrangements for large scale meetings and events (20 to 1,000 people) for the Medical Staff Office, which includes:
room request, catering, audiovisual, billing, supplies, handouts, production of visual aids, confirm speaker(s) and travel arrangements and accommodations, advertising, registration, compilation of evaluation forms and reporting.
Provides assistance with orientation functions related to the Medical Staff Office's process for orientating new providers.
Educational/Experience Requirements:
Minimum 3 years of administrative support experience.
Must have the ability to work independently, under pressure, within tight timelines and consistently demonstrate proper professional judgment.
Demonstrated abilities will be required in:
typing (minimum 50wpm), transcription/minute taking as well as demonstrated proficiency with Word, Outlook, and developing presentations using Power Point.

There is a reasonable expectation that employees in this position will not be exposed to blood-borne pathogens.
Physical Demands -Light work.
Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
