The Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.

Primary
Responsibilities:

Supervise and coordinate all office administrative activities at Front Office location(s).
Manage the reception area to ensure effective communications both internally and externally.
Serve as the company Subject Matter Expert (SME) for the deployment and execution of the SAP Asset and Inventory Management module. Including establishing business requirements, polices and best practices towards the deployment.
Manage and coordinate vendor relationships related to the day-to-day activities of the office including: Building Management, Utilities, Suppliers, Shipping, etc.
Keep the office and kitchen supplies well organized and fully stocked, and maintain the general office space.
Assist in the planning, organizing, and promoting of company events, meetings, meals, happy hours, and gatherings.
Work with the accounting department to assist in managing invoicing, incoming payments, expense reporting system, and other financial tasks.
Manage the purchasing and tracking of items for general office use including supplies, snacks, beverages, software, computer equipment, etc.
Contribute to the personality of the office environment with an outgoing, humorous, and fun loving attitude.
Create a welcoming and professional first impression of the company by greeting visitors including investors, clients and prospective employees.
Work with the HR-Legal Department to establish, design, and implement office standards, policies, and procedures.
Define procedures for record retention and ensure filing systems are maintained and up to date.
Coordinate the maintenance of office areas including layout, arrangement, equipment and housekeeping of facilities.
Responsible for the facilities day-to-day operations (distributing building access cards, arranging office moves, etc).
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
Work with the HR-Legal Department on new employee orientation and training.
Maintains office staff job results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results.
Participates as needed in special department projects.

Job Requirements:

Self-motivated and resourceful, with the proven ability to multi-task and operate successfully, under tight deadlines and time pressures.
Enjoys a fast pace, dynamic, challenging, and team oriented work environment.
Experience supporting a team on project based work.
Excellent planning, organizational, interpersonal and communication skills.
Working knowledge of mail processes such as postage machine, Federal Express and UPS.
Professional appearance and manner.
Ability to negotiate effectively.
Customer service driven.
Knowledge of MS Office (Word, Excel, Outlook).

Education/
Experience:

Bachelor's degree or equivalent experience.
At least two years of previous experience in supervisory experience.Estimated Salary: $20 to $28 per hour based on qualifications.
